In the “Persons” area, you centrally manage all contributors to your event – whether speakers, moderators, musicians, artists, participants or other stage performers. For each person, you can create an individual profile or import existing ones from previous events to save time. Edit all relevant information such as name, title, image, biography and the associated organisation. You can also define whether the person appears online or on site – ideal for hybrid event formats.
The integrated search function helps you quickly find the right person even in large teams. All contributors can also be easily linked to individual programme items in the planner, so you always have an overview of who is performing when and where.
Particularly helpful for large conferences and festivals: once created, persons can be reused for future events. If someone is invited as a speaker for the second time, their biography, image and organisation are already stored – simply import the profile with one click and update only what has changed.
The people management system is also useful for speakers themselves: via the speaker profile, they can enter their own details and upload presentations directly. This saves the organising team considerable effort and ensures that all information is correct and up to date – straight from the source.
Central management ensures clear structures, better coordination and a smooth process – before, during and after your event. All data is accessible to the entire team in real time – no email ping-pong, no outdated lists.
An additional advantage is GDPR-compliant data management: all personal data is stored securely in the platform and is only accessible to authorised team members. Speakers can decide for themselves which information they want to make publicly visible in their profile. This transparency and data sovereignty is especially important for public institutions, NGOs and federal authorities – and a key reason why organisations such as the German Foreign Office and GIZ trust iveo.
