Create an event
From the lobby through the event wizard to setting up an organisation. How to create your first event and set up an organisation if you need one.
You have an account and have had a first look around iveo. This page walks you from the lobby to your first event of your own: where you create it, what starting options the wizard gives you, and where an organisation fits in. How to invite people into an event, and who can edit what there afterwards, is covered on Roles and permissions. The two pages complement each other.
The lobby: your events at a glance
After logging in you land in the lobby automatically. It shows every event where you have an accepted membership, as cards, a list or a timeline. Multiple editions of the same series collapse into a single card: it shows the current edition, and you expand the others below it. Sub-events sit collapsed under their parent event and expand from there; the card itself leads to the global event. Above the list you can search by name, organisation, role or status, and sort by name, last updated or created date; archived events can be shown on demand.
If the lobby is empty because you have neither events nor invitations, you see a starting-point prompt rather than a blank page.
Accepting or declining an invitation
Open invitations show up as their own section in the lobby and can be accepted or declined right there, with no page change. An event you have just accepted but do not yet see in your list should appear after reloading the page. If an event is missing entirely, check first whether the invitation is still open or the event has been archived.
If you accept an invitation through the link in the email and already have an iveo account, iveo automatically sends a login link to the invited address (“Check your inbox”); one click on it signs you in and accepts the invitation.
Creating a new event
The starting point is “Create event” in the lobby. The form asks for the essentials: name (required), whether the event is standalone or a parent, global event, the time zone (detected from your browser, overridable), the date range and the daily time window. If you are instead creating a sub-event under an existing global event, the times are optional and can be inherited from it; the date range stays clamped to the parent event’s span. Start and end count as midnight in the event’s time zone, not your browser’s.
Once saved, iveo takes you straight to the new event and opens the setup wizard there. Global events skip this step, since a parent event like that has no programme schedule of its own.
Starting options in the setup wizard
The wizard only appears on a fresh event with no stages and no programme items yet, and offers three paths:
- Import: upload a file with your existing running order, and iveo hands it to the AI assistant for further processing.
- Placeholder: a generator lays out a grid of programme items based on days, stages and slot duration, which you then fill in. If too many slots are planned, iveo flags it so you can reduce the number of stages, the daily time window or the slot duration.
- Blank: the wizard closes immediately and you start from an empty event.
Once you have been through it, the wizard does not reappear automatically on that event.
Setting up an organisation
You do not create an organisation on its own, but from within a context: from a picker inside an event, for instance when assigning a host or partner organisation. “Create new organisation” always sits at the end of the list; if you have already typed something, it becomes the name. The same dialogue opens from everywhere. It starts with the website: the magnifier next to it looks for the name, logo and description there and suggests them, without overwriting anything you have already entered. Then come name (required), logo and description. If you create the organisation from a programme item or for a person, the button reads “Create & add”, and it is assigned straight away.
Incidentally, you do not enter an event’s host organisation while creating the event itself. That happens afterwards, in the event settings.
My settings: profile, appearance, security, notifications, privacy
Your personal settings sit behind the user menu in the top right and “My settings”. The dialog opens centred, without leaving the page, and is split into five tabs:
- Profile: title and salutation, first and last name, company, avatar. Your email address is shown but cannot be changed here.
- Appearance: layout width, text size and motion preference.
- Security: set or change your password. If you signed in via a magic link and have not set a password yet, this tab shows “Set password” rather than “Change password”. A password needs at least 12 characters, with upper- and lowercase letters, a digit and a special character. The list of requirements ticks itself off as you type, here as well as when you sign up or reset your password.
- Notifications: toggles for mentions in notes and chat, and for changes to programmes, organisations and people.
- Privacy: if you are scheduled as a speaker at an event, this is where you agree to or decline the AI analysis of your contributions, per event, and change that decision at any time. More on the AI & transcription page.
The older settings pages under /settings still work as bookmarks and lead
to the same dialog. On your very first login you also go through a brief
mandatory dialog in four steps before you reach the lobby: “Account” (first and
last name), “Password”, “Appearance” (layout width and language) and
“Notifications”. On the password step, the list of requirements follows along
and ticks itself off as you type; you can skip the step with “Set later” and sign in
with the link iveo sends you until then. The same fields are available under “My settings”
afterwards.
