Screens at the venue

Run TVs, projectors and steles on site with iveo: what the full-screen graphics show, what you need and how to set them up before show day.

This page is for whoever sets up a TV, a projector or a stele on site. Usually that is the technician, the director or the producer. You set up each screen once. After that you drive the content from iveo, not from the device.

What the screens show

Every event has two full-screen graphics.

“Now live” per stage. Time and title of the current programme item stay fixed at the top. Below them, slides rotate: first the confirmed speakers with photo, name, function and organisation, then the participating organisations with their logos. The “Live” marker only appears once the director has taken the programme live. If nothing is running on the stage, the screen shows that stage’s day plan.

“Daily Programme Timeline”. A timeline of all of the day’s programme items across every stage. What is running is marked the way the director switches it live.

Colours and font come from the event website’s branding. For each stage you can put a background video there instead.

Long titles, names, functions and organisations are not cut off; the display scales them down until they fit.

What you need

  • A device with a current Chrome or Edge: a laptop, a mini PC or an HDMI stick with a browser.
  • An HDMI connection to the screen.
  • A stable network at the device.
  • An iveo account that is a member of the event. Whoever sets up the graphics needs a role for produce mode: Producer, Director, Operator or Moderator. For a sub-event, membership of the parent event counts too.

There is no login-free link yet. The device therefore has to stay logged in.

Landscape (16:9) and portrait (9:16, for example on steles) both work. The display adapts by itself.

Setting up, step by step

In the app:

  1. Switch the event to produce mode.
  2. Open the “Screen Graphics” page.
  3. For each stage, choose either “Event branding” or a muted looping video under “Background”. The video is MP4 or WebM and at most 100 MB.
  4. Set the “Slide dwell time”. It decides how long each slide with speakers or organisations stays on screen.
  5. Open the display with “Open in new tab”, or take the address for the device with “Copy URL”.

On the device:

  1. Log in with the account that is a member of the event.
  2. Open the copied address.
  3. Put the browser into full screen, with F11 or Chrome’s kiosk mode. There is nothing else to hide: the page hides the mouse pointer and the app’s bars itself.
  4. Keep the device awake. The page asks the browser to keep the screen on, but the operating system’s power settings must not put the device or the screen to sleep either.

During the show

When the director presses “Go Live” in the live view, the screen switches within a second, without reloading. Changes to speakers, organisations, background and dwell time arrive live as well.

Whether a screen currently has the graphic open is shown on the “Screen Graphics” page: every card says “Display connected since …” or “No display connected”.

For the technician at the device:

  • The space bar pauses the slides and resumes them.
  • The arrow keys step one slide forwards or back.

If the network drops, the last state stays on screen and the display reconnects by itself. After 30 seconds without a connection a short notice appears. The display picks up new app versions silently at the next slide change.

Checklist before show day

  • Every device is logged in with the right account and shows the right event.
  • Every screen has its address open, in full screen.
  • Every card on the “Screen Graphics” page reports “Display connected since …”.
  • Power saving and screen savers are off.
  • Background and dwell time are set for each stage.
  • You have taken a programme live once from the live view and seen the switch on the screen.
  • A second person knows where the addresses live: on the “Screen Graphics” page.

When something is wrong

A 404 page appears after logging in. The account is not a member of this event. Ask the producer to add it. The same page appears if the device is no longer logged in.

Black screen instead of the video. Browsers only block autoplay for videos with sound. The looping video is always muted, so that is not the cause. Check the file format: MP4 or WebM.

Nothing is live. Nobody has taken the programme live in the live view. The screen then shows the stage’s day plan.

Photos are missing. The person has no photo or has not agreed to their photo being shown. The screen then shows their initials.

Logos are missing. The organisation has no logo in iveo. The screen then shows its initials.
