Roles
Operator
What you do as an Operator in iveo on show day, from taking stages live through timing and livestream to the screens at the venue, and who to ask when the programme has to change.
Your role at a glance
As an Operator you make sure on show day that the right thing is running on every stage: you take programme items live, keep an eye on the time and start the livestream when needed. You read programme details and running order along, but you cannot change them. The content comes from the team’s planning.
The role suits everyone who runs a stage or the technology on site, such as stage technicians, stage management or the person at the control desk. An overview of the course of events, with graphics, is on the page Operator in iveo.
Getting started
- A Producer invites you with the Operator role. Accept the invitation in the lobby or via the link in the email. Until then you see nothing of the event.
- If the event requires a code of conduct, you read it to the end and accept it.
- At the top of the sidebar you switch between Plan and Produce. In Plan mode you read along with the programme items, among other things under Programme. If guest management is switched on, you also see Guests.
- In Produce mode the sidebar shows Director, Live, Screen Graphics and Lower thirds. That is your workplace on show day.
What you typically do
Preparing show day
- Under Programme, open the programme items on your stage. You see time, people and agenda, read-only.
- Read the additional requirements for the format, such as “only four chairs”. They are meant for everyone involved in the programme and for the control room, and are never published.
- Put files for the control room, such as intros, lower-third graphics or video clips, on the programme page in the “Production (internal)” card. Speakers do not see these files.
- Speakers upload their presentations to iveo in advance; there are no USB sticks on site. The files appear in the programme item’s agenda.

Taking a stage live
- At the top of the sidebar, switch to Produce. You land in the Live view.
- Choose the stage at the top. The view shows what is running there at the moment and, in the Preview, the next or the selected programme item.
- With “Go Live” you take the programme item from the preview live; with “Stop” you end the switch.
- The screens at the venue follow without reloading, and so does the Director view.
- Content is read-only in Produce mode. The only things you can change there concern the broadcast itself.
More on the page Producing on show day.
Keeping an eye on time and running order
- The header of the Live view shows the remaining time of the running programme item. If it runs longer than planned, it says “Overrun”.
- Next to it are the event’s time and a second clock, set to Berlin by default. Clicking it chooses another city; the choice applies only to you on this device.
- The running order shows the speakers with photo, role and allotted speaking time, below that the agenda points and the notes the team left for the control room.
- If planning boxes on a programme item are still open, the view names them.
- The Director view shows the day across all stages and marks what is running now and what comes next.

Starting the YouTube livestream
- Once the event’s YouTube channel is connected and the livestream is
switched on for the programme item, you open the YouTube control in the
preview via the “YouTube” chip or the
ykey. - Each language has its own tile with signal and stream key. Start with “Start preview” and check the signal. The signal, not the picture, decides whether to start.
- Take the language live, for example with “Take English live”. With “Sound English” you listen to exactly one tile and so check each interpretation track on its own.
- End the stream per language or with “End all”. Ending asks you to confirm first.

Driving the screens at the venue
- In Produce mode, open Screen Graphics. There you find the “Daily Programme Timeline” and, per stage, “Now live”.
- Open a graphic with “Open in new tab” or get its address with “Copy URL”, for example for a projector, a foyer screen or OBS.
- The device at the screen must be logged in with an account that is a member of the event. Each card shows whether a screen is currently connected.
- Under Lower thirds you find the programme items of the running day. “Open preview” opens a programme item’s name overlay in a new tab, for example as a source for OBS.
More on the page Screens at the venue.
Photos and videos after the programme item
- Open the programme item and, in the Media assets card, the “Recordings & media” tab.
- Upload photos as JPEG or PNG, several at once if you like. The first photo becomes the cover image; you pick any other one instead.
- Enter photographer and usage rights once for all photos of the programme item.
- You upload videos as MP4 or MOV. The finished livestream recordings sit next to them, per language.

What you do not see, and who to ask
Your role is made for show day. What concerns planning rests with others:
- Changing content. You only read programme items, people and agenda. Changes are made by a Producer or the person looking after the programme item, in Plan mode. You see them straight away in Live and Director.
- Stages, calendar, submissions and organisations are not part of your role.
- The guest list you see if guest management is switched on; you cannot change it.
- Connecting the YouTube channel and switching on the livestream on the programme item is handled by a Producer.
- Speakers’ contact details. Only the Producer sees email addresses; the Producer and the moderation see phone numbers.
- Website, publishing, team, Inbox and AI assistant rest with the Producer.
For everything to do with programme and planning, a Producer of the event is your contact. Questions about the app are answered by the iveo team via “iveo Support” in the messages window. This page describes the role’s default; your event can have the permissions cut differently. The overview is on the page Roles and permissions.
Working with other roles
- Producer: They hand you stages, schedule and running order for show day, connect the YouTube channel and switch on the livestream on the programme item. They make short-notice programme changes in planning.
- Director: You work with the same views. What you take live, the Director sees straight away in their day overview. Agree beforehand who takes which stage live and who starts the livestream.
- Moderator: The moderation also has access to Produce mode and sees “Go Live” there as well. Agree beforehand who takes things live. If a person is missing shortly before the start, the moderation can call them, provided a number is on file.
- Programme Organisers: They maintain the programme items you run, including agenda, notes for the control room and additional requirements for the format.
- Speaker: They upload their presentations to iveo in advance so the control room has them in time.
- Guest Manager: They maintain the guest list. You see it but do not change it.
In these journeys
The journey pages follow a submission, a programme item or a speaker step by step across every role involved, including the places where things typically get stuck.
- From programme item to show day: You take the programme item live, keep an eye on the remaining time and upload photos and videos afterwards.
- From invitation to the stage: You take the programme item live on show day; the speaker’s presentation is then ready in the agenda.
Frequently asked questions
I don’t see the switch to “Produce”. Why? Only Producers, Directors, Operators and Moderators see Produce mode. If the switch is missing, you have a different role in this event. A Producer checks that on the Team page.
I took a stage live, but the screen at the venue shows nothing. First check whether the right stage was selected in the Live view. If the screen shows a 404 page, the device is either not logged in or logged in with an account that is not a member of the event.
Can I correct a title or a time in Produce mode? No. Everything there is read-only so that nobody accidentally rebuilds a programme during the show. A Producer makes the change in Plan mode; it appears in your views straight away.
What is the difference between Operator and Director in iveo? For show day, both have the same tools by default: Live, Director, Screen Graphics, Lower thirds, “Go Live”, the YouTube control and uploading photos and videos. Who takes what, you decide in the team.
Where do I find the speakers’ presentations? In the programme item’s agenda, with the person’s name and the date of the upload. Files without an agenda point of their own sit there under General materials with the note “Speaker upload · no agenda item”.
