Roles
Director
What you do as a Director in iveo on show day, from the day's schedule across all stages to going live and the livestream, and what you can read but not change.
Your role at a glance
As a Director you run the control room on show day. You keep the running order across all stages in view, help decide what goes live and when, and have the livestream under control. You see content in full but cannot change it. That is deliberate: while the show is running, nobody should accidentally rebuild a programme.
The role suits the control room, production management or the person who announces the running order on show day. An overview of the course of events, with graphics, is on the page Director in iveo.
Getting started
- A Producer invites you with the Director role. Accept the invitation in the lobby or via the link in the email. Until then you see nothing of the event.
- If the event requires a code of conduct, you read it to the end and accept it.
- At the top of the sidebar you switch between Plan and Produce. In Plan mode you read along with the programme items, among other things under Programme. If guest management is switched on, you also see Guests.
- In Produce mode the sidebar shows Director, Live, Screen Graphics and Lower thirds. Director is your overview of the day, Live the cockpit for one stage.
What you typically do
Preparing show day
- Go through the programme items under Programme: time, stage, people, agenda and the additional requirements for the format, such as “only four chairs”.
- Put files for the control room, such as intros, lower-third graphics or video clips, on the programme page in the “Production (internal)” card. Speakers do not see these files.
- Check that the presentations are there. Speakers upload them to iveo in advance; there are no USB sticks on site. The files appear in the programme item’s agenda.
- You see the status of the speakers’ AI consent in the “Transcript” tab of the Media assets card, read-only.
More on the pages Programme and Calendar, Uploading presentations and AI & transcription.
Following the day across all stages
- At the top of the sidebar, switch to Produce and open Director.
- Choose the day. The view shows the programme items across all stages, with title, type, speakers and organisations, grouped by date or by stage as you prefer.
- A line shows the current time; “NOW” and “UP NEXT” mark, according to the schedule, what is running and what comes next. At the top you see, per stage, what the control room has actually taken live.
- Use the search to find a programme item by title, speaker or organisation.
- If someone changes something in planning, the view updates by itself. You cannot move or edit anything here.
More on the page Producing on show day.
Taking a stage live
- Open Live and choose the stage at the top.
- In the Preview, check the next programme item: the running order with photo, role and allotted speaking time, the agenda points and the notes the team left for the control room.
- “Go Live” takes it live, “Stop” ends the switch. The screens at the venue and your day overview follow without reloading.
- The header shows the remaining time. If a programme item runs longer than planned, it says “Overrun”.
More on the page Producing on show day.
Controlling the livestream
- In the preview, open the YouTube control via the “YouTube” chip or the
ykey. - Each language has its own tile. Start with “Start preview”, check the signal and then take the language live.
- With “Sound English” you listen to exactly one tile and so check each interpretation track on its own.
- At the top of the window you see how much of the daily YouTube quota has been used. While a stream is running, the header shows “YouTube live · 2 of 3” in red.
- End the stream per language or with “End all”. Ending asks you to confirm first.

Graphics for screens and stream
- Under Screen Graphics you open the “Daily Programme Timeline” and, per stage, “Now live” in a new tab, or copy their address for a device or OBS.
- Under Lower thirds you open the name overlay for each programme item with “Open preview”. The overview also shows whether an interpretation is entered for each language.
- Every device must be logged in with an account that is a member of the event.
More on the page Screens at the venue.
Photos and videos after the programme item
- Open the programme item and, in the Media assets card, the “Recordings & media” tab.
- Upload photos as JPEG or PNG and pick a cover image. You enter photographer and usage rights once for all photos.
- You upload videos as MP4 or MOV. The livestream recordings sit next to them, per language.

What you do not see, and who to ask
You see the event’s content, but planning rests with others:
- Changing content. You only read programme items, people and agenda. Changes are made by a Producer or the person looking after the programme item, in Plan mode.
- Stages, calendar, submissions and organisations are not part of your role.
- The guest list you see if guest management is switched on; you cannot change it.
- The moderation briefing is filled in by the moderation and the programme team. What the control room needs to know is in the agenda and in the notes for the control room.
- AI consent is requested by Producers and Organisers. You see only the status.
- Connecting the YouTube channel and switching on the livestream on the programme item is handled by a Producer.
- Speakers’ contact details. Only the Producer sees email addresses; the Producer and the moderation see phone numbers.
- Website, publishing, team, Inbox and AI assistant rest with the Producer.
For everything to do with programme and planning, a Producer of the event is your contact. Questions about the app are answered by the iveo team via “iveo Support” in the messages window. This page describes the role’s default; your event can have the permissions cut differently. The overview is on the page Roles and permissions.
Working with other roles
- Producer: They hand you stages, schedule and running order for show day, connect the YouTube channel and switch on the livestream on the programme item. They make short-notice programme changes in planning; you see them straight away.
- Operator: You work with the same views. When the Operator takes a stage live, you see it straight away in Director. Agree beforehand who takes which stage live and who starts the livestream.
- Moderator: The moderation also has access to Produce mode and sees “Go Live” there as well. Agree beforehand who takes things live. The moderation sees speakers’ phone numbers; you do not.
- Programme Organisers: They maintain the programme items, including agenda, notes for the control room and additional requirements for the format. That is your material for the running order.
- Speaker: They upload their presentations to iveo in advance so the control room has them in time.
- Guest Manager: They maintain the guest list. You see it but do not change it.
In these journeys
The journey pages follow a submission, a programme item or a speaker step by step across every role involved, including the places where things typically get stuck.
- From programme item to show day: You follow the day across all stages, take things live when needed and upload photos and videos afterwards.
Frequently asked questions
Can I move a programme item in the “Director” view? No. The view is read-only. A Producer plans times and stages in the calendar; changes appear for you straight away.
What is the difference between Director and Operator in iveo? For show day, both have the same tools by default: Director, Live, Screen Graphics, Lower thirds, “Go Live”, the YouTube control and uploading photos and videos. Who takes what, you decide in the team.
“NOW” is on a different programme item from the live display at the top. Which is right? “NOW” follows the schedule, the display at the top follows the live switch. If a programme item runs earlier or later than planned, the two differ. If the display at the top is wrong, check in Live whether the right programme item is taken live on the right stage.
The buttons in the YouTube control cannot be pressed. Under a locked button is the reason, for example that no signal is arriving yet. If no channel is connected or the livestream is switched off on the programme item, a Producer is the one to ask.
How do I see whether all speakers have agreed to the AI analysis? In the “Transcript” tab of the Media assets card on the programme item. You see the status there; Producers and the Organisers of the programme item can request the consent.
