Roles

Editor

What you maintain as an Editor in iveo, how you publish individual content and when you need the Producer.

Your role at a glance

As an Editor you maintain an event’s content editorially: programme items, people and organisations. Unlike a Programme Organiser, you work across the whole event, not just on individual programme items. You publish individual content yourself.

The structure is set by the Producer: which stages there are, which programme items there are and when and where they take place. You change none of that.

The role suits everyone who keeps texts, bios and logos up to date, such as an editorial, content or communications team. An overview of the course of events, with graphics, is on the page Editor in iveo.

Getting started

  1. A Producer invites you with the Editor role. Accept the invitation in the lobby or via the link in the email. Until then you see nothing of the event.
  2. If the event requires a code of conduct, you read it to the end and accept it. Without accepting it, you cannot publish anything.
  3. In the event sidebar you work mainly in Programme, Speakers and Organisations. If guest management is switched on, Guests is added.

What you typically do

Maintaining programme items editorially

  1. Open a programme item under Programme.
  2. Click “Edit” on a box and save with the bar at the bottom.
  3. In Programme details you maintain title, subtitle, topics and description, plus the thumbnail. In the Formats box you choose the format, and on its own card you enter the Slido link.
  4. In the Speakers and Organisations boxes you assign who is taking part and set people to “Confirmed” as soon as they have agreed.
  5. Once a box is fully planned, you lock it with “Done”.

More on the page Programme and Calendar.

Agenda and interpretation

  1. In the Agenda, set up the agenda points with duration, speakers and materials and leave private notes for the director.
  2. If a person does not speak the event’s main language, use “Add interpreter” in the Interpretation card to set up the interpretation.

More on the page Programme and Calendar.

Maintaining people

  1. Under Speakers you create people, edit them and archive them when they are no longer needed.
  2. If your event belongs to a series, you adopt people from an earlier edition with “From earlier edition”.
  3. “Find duplicates” shows you entries that are probably doubles. A Producer can merge them.
  4. A profile linked to a person’s own iveo account is maintained by that person.

More on the page Speakers.

Maintaining organisations

  1. You create a new organisation from a picker, for example on the programme item: “Create new organisation” always sits at the end of the list.
  2. Enter the website. The magnifier next to it suggests name, logo and description without overwriting what is already entered.
  3. Keep logos and descriptions up to date. On the event website they appear under “Partners & hosts”.

More on the pages Create an event and The public event website.

Publishing individual content

  1. Check whether the event itself is already online. Until then neither a programme item nor a person or organisation can be published.
  2. If a publishing date is set, only Producers publish until then.
  3. You publish a programme item via the dialogue on its programme page. It first shows you how the item will look on the website and what has changed.
  4. You publish a person individually via the button on their detail page.

More on the pages The public event website and Code of conduct for your event.

Helping maintain the guest list

  1. If guest management is switched on, you create and edit guests under Guests.
  2. Permanent deletion and setting up guest management rest with the Producer.

What you do not see, and who to ask

Everything concerning structure, team or website rests with the Producer:

  • Stages and schedule. Only Producers see the Stages page. A Producer sets the date and stage of a programme item and also creates new programme items or archives them.
  • Type and department of a programme item are changed only by Producers.
  • Submissions you do not see.
  • Website, publishing the whole event and your own domain rest with the Producer.
  • Invitations and team. Producers may invite people into the event, also via “Let the person enter their own details”, and manage the team; on their own programme items, Programme Organisers also invite speakers.
  • Speakers’ email addresses only the Producer sees. You see “Email on file” and can enter a new address without seeing the existing one.
  • Requesting AI consent is something Producers and the Organisers of the programme item may do.
  • Videos and livestream are maintained by the Producer. Photos and videos on the programme item you see and download; Producers, Operators and Directors upload them.
  • Merging duplicates and locking master data only the Producer may do.
  • Produce mode, Inbox and AI assistant are not part of your role.

In these cases, turn to a Producer of the event. Questions about the app are answered by the iveo team via “iveo Support” in the messages window. This page describes the role’s default; your event can have the permissions cut differently. The overview is on the page Roles and permissions.

Working with other roles

  • Producer: They create stages, schedule and programme items. You maintain the content and hand it back finished editorially. The Producer publishes the event and the website.
  • Programme Organisers: They maintain only their own programme items, while you work across all of them. They may not attach the event’s host organisation to their programme item; you or a Producer do that. You can work on the same box at the same time; you decide a conflict right at the field.
  • Guest Manager: They look after the guest list. You can both maintain it; agree who takes what.
  • Speaker: They maintain their profile under “My profile” themselves and upload their presentations. What they upload, you see in the agenda.
  • Moderator: You see the moderation briefing read-only. Producers, Organisers and the moderator settle queries by comment.

Frequently asked questions

Why can’t I change the date or stage of a programme item? Stages and schedule are part of the event’s structure, and the Producer sets that. You maintain the content, they reschedule.

Why is a profile locked for me? If you open a person from a programme item, locked fields carry a padlock, and a note gives the reason: “Own iveo account” means the person maintains their profile themselves; “Checked and protected” means their master data is locked, and only a Producer lifts the lock. You can still change function and status on the programme item.

Why can’t I publish? There are three reasons: the event itself is not yet published, the publishing date has not yet been reached, or you have not yet accepted the code of conduct.

I see duplicates but cannot merge them. Why? Several roles may view them, but only a Producer may merge. Let them know which group you have checked.

Why don’t I see any email addresses? Only the Producer sees people’s email addresses. For you it says “Email on file” or “Email address confirmed”.
