Roles

Moderator

What you do as a Moderator in iveo, from moderation requests through the moderation briefing and the briefing call to show day, and what you can read but not change.

Your role at a glance

As a Moderator you host programme items at an event. In iveo you prepare for that: you accept or decline moderation requests, fill in the moderation briefing for every programme item you moderate and settle queries with the programme team right on the form. On show day you read along in Produce mode.

You read programme items, people and agenda but cannot change them. The programme team maintains the content.

The role suits moderators, hosts and session chairs. An overview of the course of events, with graphics, is on the page Moderator in iveo.

Getting started

  1. A Producer invites you with the Moderator role. Accept the invitation in the lobby or via the link in the email. Until then you see nothing of the event.
  2. If the event requires a code of conduct, you read it to the end and accept it.
  3. In the sidebar you find Programme, Moderation requests and Speakers. You read programme items and people; you answer on Moderation requests.
  4. At the top of the sidebar you switch between Plan and Produce. You need Produce mode on show day.

What you typically do

Answering moderation requests

  1. If a Producer or a Programme Organiser asks you to moderate a programme item, you get an email (in English) and a notification in iveo.
  2. Under Programme, open the Moderation requests page. It lists open, accepted and declined requests with the date of the reply and the reason for the request. “Filter by status” narrows it to “Open”, “Accepted” or “Declined”.
  3. Reply with “Accept” or “Decline”. With a decline you can write a note; it goes to the team as the reason.
  4. The programme team gets your reply by email, with you in copy. On an acceptance it lists the free slots for the briefing call, provided booking is open.

In your role, the Moderation requests page shows all of the event’s moderation requests, not just your own. You can also accept or decline open requests there on behalf of the person asked. More on the page Programme and Calendar.

Filling in the moderation briefing

  1. Under Programme, open the programme item you moderate. If the briefing is switched on in the event, the briefing card leads to the form.
  2. Above the form are “About this programme item” with speakers, organisations and time zone, “Contact the moderation” and the “Briefing contact”.
  3. Once you have accepted, fill in the sections and, in the “Order on stage”, drag the people into their seating order, left to right as seen from the audience. If a Producer has uploaded a stage picture, it sits next to it.
  4. You can’t submit the briefing yourself. Producers and the programme item’s Organisers click “Submit briefing”. Every submission saves a version (V1, V2, …), and you are told by bell and email.
  5. You reopen a submitted briefing with “Reopen” if needed; submitting it again creates a new version. If the programme changes afterwards, the briefing shows a note.

More on the page Programme and Calendar.

Settling queries by comment

  1. You settle queries by comment right on the box in question instead of by email.
  2. New comments reach those involved by bell and email.
  3. Once a query is settled, you tick the thread off with “Resolve”. A new reply reopens it.
  4. The “Comment history” above the briefing lists all threads in order, including resolved ones.

Commenting also works after the deadline. More on the page Programme and Calendar.

Deadline and briefing call

  1. Until the deadline, a banner counts down at the top of the briefing. After it, the form is read-only for Organisers. Producers and you can keep editing and reopen a submitted briefing with “Reopen”.
  2. A Producer offers briefing calls under Settings → Moderation briefing. You can reach these settings too.
  3. Organisers book a free slot on their programme item’s briefing page once you have accepted. There is one call per programme item.
  4. Every booking goes out as a calendar invitation to you, the person who booked and the briefing contacts. You accept the appointment in your calendar. You see who has booked under “Bookings”.

More on the page Programme and Calendar.

On show day

  1. At the top of the sidebar, switch to Produce. In Live you see, per stage, what is running and what comes next: the running order with photo, role and allotted speaking time, the agenda points and the notes for the control room.
  2. Director shows the day across all stages.
  3. You see speakers’ phone numbers, where on file, for example as a call link in the Live view.
  4. You see the YouTube control read-only.
  5. You see the “Go Live” button as well. Usually the control room takes things live; agree beforehand who presses it.

What you do not see, and who to ask

You prepare moderations and accompany show day. What concerns programme and planning rests with others:

  • Changing content. You only read programme items, people and agenda. Changes are made by the programme item’s Programme Organiser or a Producer.
  • Stages, submissions, organisations and the guest list are not part of your role.
  • Speakers’ email addresses only the Producer sees.
  • Videos and livestream are maintained by the Producer. Photos and videos on the programme item you see and download.
  • AI consent is requested by Producers and Organisers. You see only the status.
  • Website, publishing, team, Inbox and AI assistant rest with the Producer.

For questions about a programme item, the briefing contact or the Programme Organiser is responsible; for everything else, a Producer of the event. Questions about the app are answered by the iveo team via “iveo Support” in the messages window. This page describes the role’s default; your event can have the permissions cut differently. The overview is on the page Roles and permissions.

Working with other roles

  • Producer: They switch on the moderation briefing in the event, set the deadline and offer briefing calls. They ask you or invite you. After the deadline, you both reopen a briefing if needed.
  • Programme Organiser: They ask you with a reason, choose the briefing contact and, once you have accepted, book the briefing call. They submit the briefing you filled in; you settle queries by comment.
  • Editor: They see the briefing but neither comment on it nor change it.
  • Speaker: They appear in the briefing under “About this programme item”, and in the order on stage you decide who sits where. You see their phone numbers, where on file.
  • Director and Operator: They run the control room on show day. You see the same views in Live and Director; agree beforehand who presses “Go Live”.

In these journeys

The journey pages follow a submission, a programme item or a speaker step by step across every role involved, including the places where things typically get stuck.

Frequently asked questions

I have been invited to the event as a Speaker and am meant to moderate. Does this page apply to me? In part. You find requests and briefing in the sidebar under Moderation requests and, once you have accepted, under My briefings. On Moderation requests you only see your own requests, and after the deadline the briefing is read-only for you. The Speaker role does not have Produce mode. More on the page Speaker.

I don’t see a briefing card on my programme item. The card only appears once a Producer has switched on the briefing for the event and a person with a briefing requirement is on the programme item. In that case, speak to a Producer.

Can I still change the briefing after the deadline? Yes. After the deadline the form is read-only for Organisers; Producers and you can keep editing and reopen a submitted briefing with “Reopen”. Commenting carries on for everyone involved.

Where do I see whether I have already accepted? On the Moderation requests page. With “Filter by status” you show only open, accepted or declined requests, each with the date of the reply.

What happens to the briefing call if I decline a programme item? If you decline the programme item, a cancellation goes to everyone who had received the appointment. The same happens if someone releases the booked slot.
