Without iveo

The guest list often lives in a spreadsheet, registration runs through a separate form tool, and acceptances also come in by email. Someone has to copy registrations across by hand, and whether a person attends on-site or online sits in a column one time and in a note the next.

With iveo

In iveo, guests belong to the same event as the programme and the people. If a guest is also speaking on stage, you link the entry to the person in the people directory. Self-registered, invited and manually added guests sit on one list, with the same fields and a note of where each entry came from.

The public registration page shows visitors only their own form, never the list behind it. How to set up the module, the list and registration is explained in the guide to guests and registration.

How it works with iveo

Step by step

Turn on the guest module
The module is off in new events. You enable it with a master toggle in the event settings, after which "Guests" appears in the sidebar.
Create and maintain the guest list
Every guest gets an attendance mode (on-site, virtual or hybrid) and an RSVP status. Tiles at the top show the total, the split by attendance mode and the RSVP status.
Invite guests
For each guest you trigger an email invitation or generate a standalone invitation link to share. Whoever opens the link doesn't need to log in.
Configure public registration
You set the mode, maximum number of attendees, registration deadline, double opt-in, email language and consent text, and choose extra fields such as dietary requirements or a plus one.
Share the registration URL
Once registration is enabled, the settings show you the public registration URL. Every registration lands on your guest list as an entry with the source "self-registered".

Do guests need an account to register?

No. The public registration form needs no login. Through a personal link in the confirmation email, guests can later view and cancel their own registration, again without logging in.

Do visitors on the registration page see who else has registered?

No. The public registration page is entirely separate from your internal guest list. All they see is the form with the fields you have enabled and your consent text: no other guests' names, no RSVP status and no internal notes.

Can I cap the number of attendees and set a registration deadline?

Yes. In the guest settings you set a maximum number of attendees and a registration deadline. Once the registration window has closed, or if the mode is set to by invitation only, the public page shows a notice instead of the form.

Can I give someone access to the guest list only?

Yes. The Guest Manager role sees only the guest area and no other programme content. What the other roles may see and edit in the list is governed by each person's event role.

What happens if a guest wants their data deleted?

You normally take guests off the active list by archiving them, which is reversible. For a final deletion, for example in response to a GDPR request, there is a separate action.
