Who does what at your event
In iveo your whole team works in the same event, but not everyone needs everything. Each role opens exactly the areas that fit the job: the Producer sees the whole event, an external partner only their own programme items, and speakers land straight on their appearance.
The roles carry an event from the first draft to wrap-up. Here you can see when each role comes in, what it hands on to the next and which role suits whom in your team.
How the roles interlock
Each row is a role, each column a phase. The Producer is there from start to finish; the other roles join where their job lies.
Plan
The Producer sets up the event, stages and schedule, opens a call for sessions if needed and invites the team with the right roles.
Prepare
Programme Organisers and Editors maintain the content, speakers provide their profile and presentation, and moderators fill in their briefing. If guest management is switched on, the Guest Manager invites guests. Operator and Director go through the running order.
Publish
The Producer publishes the event and website. After that, Programme Organisers release their own programme items and Editors individual items.
Show day
In Produce mode, Operator and Director take stages live and control the livestream. Moderators and speakers see timing and running order, and the Guest Manager keeps working with the guest list.
Wrap-up
Operator and Director upload photos and videos to the programme item. If the event continues as a series, the Producer starts the next edition.

Which role for whom?
In iveo, permissions belong to a person’s role in an event, not to the person. That way each job gets exactly the access it needs.
| Situation | Role | Why it fits |
|---|---|---|
| Event lead responsible for stages, schedule, team and website | Producer | Sees everything in the event and publishes programme and website. |
| An external partner looks after their own session | Programme Organiser | Sees only the programme items whose team they are in and publishes them. Also covers Organiser. |
| An editorial team keeps copy, bios and logos up to date across the programme | Editor | Maintains all content but changes neither stages nor schedule. |
| Guest management handles the guest list, invitations and RSVPs | Guest Manager | Only when guest management is switched on. Doesn’t see the programme. |
| Stage crew takes the stage live on show day | Operator | Works in Produce mode, starts the livestream and only reads content. |
| The director keeps every stage in view on show day | Director | Follows the day across all stages, goes live and doesn’t change content. |
| Moderators prepare sessions with a briefing and briefing call | Moderator | Answers moderation requests and follows along in Produce mode on show day. |
| Speakers provide their profile and presentation | Speaker | Land straight on My appearance and don’t edit programme items. |
Roles and permissions in detail
What each role sees, edits and publishes is listed point by point in the Roles and permissions overview, along with how to involve external partners and how the defaults can be adjusted per event.
